Administrative Assistant - Permanent
Department: Governance & Executive Operations
Location: Tr’ondek Hwech’in Offices – Dawson, YT

Salary:  Level 5 Step 1 ($36.39 hourly)

Reporting to the Senior Executive Assistant, this position works with the Government Relations Coordinator, the Administrative Assistant to Council and the Senior Executive Assistant to provide administrative support for the Governance Team within the Governance and Executive Operations Department. The incumbent will assist with general office duties as well as scheduling, travel plans including completing forms, preparing for meetings, meeting agendas, briefing notes, meeting minutes and other related duties as well as, attend special meetings, consultations, and general assemblies. This position will be expected to pay close attention to detail and provide accurate information with regards to briefings or requested documents. This position requires a high level of tact and diplomacy as well as the ability to manage confidential information. 

An Eligibility List may be established from this competition – the duration of the eligibility list may be up to 12 months. The eligibility list may be used to fill future permanent full-time, permanent part-time, temporary full-time, temporary part-time, term, or auxiliary on-call vacancies within the same department and classification based on the organizational needs by going the next highest ranked candidate until the eligibility list expires.

Essential Qualifications:  

  • Grade 12 completion (or equivalent) with post-secondary coursework in Communications, Public Relations / Office / Business Administration, or related field. An equivalent combination of education, knowledge and demonstrated skills and experience may be considered.
  • Some experience in general office practices and procedures, meeting planning and preparations.
  • Experience in minute-taking and transcribing.
  • Experience using Microsoft Office suite.
  • Punctual, reliable, and dependable.
  • Ability to organize, manage time and prioritize work.
  • Willingness to be flexible with work hours.
  • Ability to maintain and communicate strict confidentiality.

Assets:  

  • Experience using zoom video-conferencing.
  • Ability to organize information effectively and accurately.
  • General knowledge of Tr’ondëk Hwëch’in Land Claims Agreements, self-government agreement and implementation agreements and constitution.
  • Knowledge of Tr’ondëk Hwëch’in Government structure, traditions, values as well as a sound understanding of the Umbrella Final Agreement and the Tr’ondëk Hwëch’in Final and Self Government Agreements.
