Specific Accountabilities
- To provide clerical and administrative support to the Marketing & Communications Team and the Manager of Community Investment.

To provide support for external marketing communications campaigns, including:
- Tracking and filing information on communication campaigns (maintaining and organizing comprehensive electronic and physical files).
- Invoice management and tracking expenditures.
- Coordination and distribution of marketing messages to customers.
- Coordination of community events for marketing product launches.
- Design, production and distribution of communication pieces, as required.
- Management of assigned portions of communications campaigns.
- Provide support for campaign tracking and analysis (managing data reports, number crunching, etc.).
- Liaise directly with suppliers and ad agencies, as required.
- In consultation with the Marketing & Communications Team, work with other departments to maintain marketing-related information on the corporate website. This includes maintaining and updating existing web pages, as well as developing new web pages.

To coordinate Northwestel’s participation in tradeshows and other public events, including:
- Coordinating logistics (e.g., set up, tear down, etc.) and volunteer recruitment and scheduling.
- Acting as prime liaison with event organizers.
- Maintaining records of tradeshow participation.
- Managing and maintaining Northwestel’s inventory of tradeshow equipment and collateral.
- Notify contest winners and arrange the mail out of prizes to customers.
- Assembling trade show booths and displays and transporting to local trade shows using company vehicle.

To provide support for Internal Communication functions, including:
- Providing coordination and logistical support for internal employee campaigns and call center events.
- Development and maintenance of Intranet web pages to provide campaign information and status reports to call centers and other departments.
- Posting external communications campaign information to the various company Intranet sites (e.g., “SharePoint” and “The Key”).

To manage the inventory and storage of all marketing communications collateral (brochures, letterhead, etc.), including:
- Maintaining up to date records regarding quantities in stock.
- Ordering new collateral when required.
- Oversee and manage the physical storage of all collateral and marketing materials.

To manage the inventory of corporate and marketing promotional items, including:
- Researching availability and suitability of various types of promotional items
- Ordering promotional items from suppliers.
- Interfacing with Northwestel warehouses to store items and manage inventory.
- Monitoring demand for the various promotional items.
- Arranging for replenishment of inventory as required.
- Developing and maintaining an up-to-date Intranet-based catalogue and ordering system for promotional items.
- Assist with other communications and marketing-related projects as required.
- Participate fully in our organizational health and safety programs, adhering to all safe work practices and procedures and staying focused on continuous improvement. In addition, ensuring all Accident Prevention Program (APP’s) training, all Code of Business Conduct (CoBC) training, and all other Occupational Health and Safety (OHS) training are completed on time.
- Timely completion of all administrative tasks including, but not limited to time reporting, expense reporting and submission of corporate card statements.
Knowledge and Skills Required
- Demonstrated knowledge of Marketing & Communications theory.
- Demonstrated knowledge of office administrative procedures and equipment.
- Demonstrated advanced word processing skills, including the ability to manage and perform large mail merges and create labels.
- Demonstrated advanced working knowledge of MS-Excel and MS-Word (PC-based).
- Demonstrated working knowledge of MS-PowerPoint (PC-based).
- Experience with standard web development tools and knowledge in the programming of HTML would be a significant asset.
- Experience with graphics design or publishing software would be an asset.
- Post-secondary education within a Marketing or Communications fields would be an asset.
- Knowledge and experience in database design and management would be an asset.
- Excellent oral and written communications skills.
- Excellent interpersonal and customer service skills.
- Ability to work independently with little supervision, and to work well in a small team setting.
- Excellent organisation, prioritization and time management skills.
- A valid Driver’s Licence.
- Ability to do moderate lifting.
