Specific Accountabilities 

  • Assist in the coordination of maintenance activities, lease renewals, tenant assignment, acquisition, sale, etc. of company owned/leased property.
  • Maintain and track various property information in appropriate databases, including but not limited to lease documents, tax requirements, access agreements, right of ways, easements, changes to property information, and maintenance information.
  • Provide support to internal and external customers with respect to residential premises and office space, responding to all inquiries, feedback, and concerns, while providing quality customer service.
  • Ensure any coordination or ordering of various items related to company property such as furniture and office equipment, as approved by management, in a timely manner.
  • Communicate and collaborate with various departments to ensure proper administration and coordination of property information.
  • Accounts payable duties including uploading vendor invoices, identify, validate and code invoices, reconcile and maintain vendor AP accounts.
  • Complete general office duties as required including faxing, mail, filing, and other required administrative duties.
  • Participate fully in our organizational health and safety programs, adhering to all safe work practices and procedures and staying focused on continuous improvement. In addition, ensuring all Accident Prevention Program (APP’s) training, all Code of Business Conduct (CoBC) training, and all other Occupational Health and Safety (OHS) training are completed on time.
  • Timely completion of all administrative tasks including, but not limited to time reporting, expense reporting and submission of corporate card statements.

Knowledge and Skills Required

  • Minimum one-year Accounts Payable or office administration experience.
  • Minimum Grade 12 education and demonstrated basic numeracy and literacy skills.
  • High level of proficiency with Microsoft Office including Word, Excel, and Outlook.
  • Ability to balance demands of competing priorities.
  • Possess excellent English written/verbal communication skills and negotiating skills
  • Ability to work independently and with minimal supervision
  • Excellent file management skills.
  • Ability to provide excellent customer service.
  • Legal or commercial property management experience would be an asset.
  • Experience with SAP would be considered an Asset.
