The Executive Administrative Assistant is a key support role within the Community Services Department, responsible for ensuring the department and its divisions operate efficiently and effectively. This position provides comprehensive administrative, organizational, and logistical support to the Director of Community Services and acts as the primary point of contact for internal and external stakeholders.
The role is critical in maintaining smooth departmental operations by managing schedules, coordinating meetings, preparing agendas, recording and distributing accurate meeting minutes, and overseeing event logistics. The Executive Administrative Assistant ensures that departmental priorities are met, deadlines are adhered to, and communication flows seamlessly across divisions. Additionally, this position plays a vital role in supporting community engagement initiatives by organizing and facilitating major events.Required Qualifications (what we screen/look for on your resume): An equivalent combination of post-secondary education, combined with significant current/lived experience in the areas identified below, will equally be considered.
- Post-secondary education in office administration or a related field; equivalent experience considered.
- Minimum 3 years of executive-level administrative support experience in a complex, multi-stakeholder environment.
- Experience providing secretariat functions to committees including coordination of meetings and events, drafting agendas and minute taking
- Finance experience in the areas of payment processing, tracking and reconciliation of expenses and small budgets;
- Solid computer proficiency and experience with Microsoft software and databases.
Knowledge and skills (what we may assess/interview on):
- Demonstrated organizational, coordination, and time-management skills, with a high degree of accuracy and attention to detail, and the ability to manage multiple priorities, competing demands, and tight deadlines.
- Proven experience in event and meeting coordination, including planning, scheduling, logistics, and follow-up activities.
- Knowledge of financial and data management practices, with the ability to support budgeting, tracking, reporting, and information management requirements.
- Strong research, analytical, critical-thinking, and problem-solving skills to support informed decision-making and operational effectiveness.
- Effective written and verbal communication skills, including briefing and report writing, with the ability to compile, summarize, and present information to diverse audiences.
- Demonstrated interpersonal and professional skills, including initiative, tact, diplomacy, conflict resolution, and the ability to work effectively both independently and as part of a team while maintaining positive working relationships with internal and external stakeholders.
Knowledge of Yukon First Nations history within formalized education systems, residential schools and on-going intergenerational effects specific to education and social programming is an asset. Familiarity with Kwanlin Dün First Nation history, culture, goals and aspirations is required for success in the role.
Conditions of Employment:
Salary: $61,315.80 - $99,717.80 per annum ($33.69 - $54.79 per hour) Level 5 *plus benefits
