Position Overview:

The Office Administrator at FASSY is responsible for ensuring the smooth operation of administrative functions and enhancing the organization's reach through effective online engagement. In addition to managing routine office tasks, the administrator will utilize their Google-certified e-commerce knowledge to help drive online fundraising and outreach efforts. This dual focus on administration and e-commerce will support the organization's growth and its mission to raise awareness about Fetal Alcohol Spectrum Disorder (FASD).

Key Responsibilities:

  • Oversee day-to-day office operations, ensuring all administrative activities are handled efficiently.
  • Serve as the primary point of contact for internal and external stakeholders, including clients, donors, and partners.
  • Organize and maintain accurate records, files, and reports.
  • Coordinate meetings, workshops, and appointments, and assist in the preparation of agendas and minutes.
  • Support the planning and execution of fundraising and outreach events, with a focus on enhancing online engagement.
  • Manage office communications, including phone, email, and digital inquiries, ensuring timely follow-up.
  • Monitor office supplies and ensure inventory is maintained and replenished as needed.
  • Leverage Google-certified e-commerce skills to enhance FASSY’s online presence, including managing fundraising campaigns through digital platforms.
  • Collaborate with the team to optimize the organization’s online strategies, ensuring alignment with fundraising and outreach goals.
  • Assist in financial tasks such as invoicing, budget tracking, and expense reporting.
  • Help with the development and submission of grant applications and related reporting.

Qualifications:

  • Proven experience in an administrative or office management role.
  • Google-Certified E-Commerce Course completion, with practical knowledge of online sales, marketing, and digital platform optimization.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Experience with e-commerce platforms (e.g., Shopify, Google Ads, Google Analytics) and digital marketing tools.
  • Ability to handle sensitive and confidential information with discretion.
  • Familiarity with non-profit organizations is an asset.
  • A degree in any field is an advantage.
